This Privacy Policy explains how Calverna Consulting, operated by Jordan as a sole trader, collects, uses and protects your personal data. We are committed to handling all personal information in accordance with the UK General Data Protection Regulation (UK GDPR) and the Data Protection Act 2018.

1.1The data controller is Jordan, trading as Calverna Consulting, a career transition and outplacement consultancy operating across the UK.

2.1Enquiry data. When you complete our contact form, we collect your name, email address, your role or organisation type, and the content of your message.
2.2Service delivery data. When we deliver outplacement or career transition services, we collect personal information from or about the candidate, which may include name, contact details, employment history, CV content, career background and interview notes. This information is provided directly by the candidate or, where applicable, by the instructing employer or their solicitor.
2.3Client and billing data. We collect the name, contact details and billing information of organisations and individuals who instruct us, for the purposes of invoicing and maintaining business records.
2.4We do not use cookies for tracking or analytics. Our website may use essential session functionality only. No personal data is collected through cookies.
3. How We Use Your Data
3.1To respond to your enquiry and discuss how we may be able to help.
3.2To deliver the outplacement or career transition services you or your organisation has engaged us to provide.
3.3To issue invoices and maintain financial records as required by law.
3.4To confirm programme completion to the instructing employer or their solicitor, where applicable.
4. Legal Basis for Processing
4.1Legitimate interests — for responding to general enquiries and maintaining business relationships.
4.2Contract performance — for processing data necessary to deliver services you or your organisation has instructed us to carry out.
4.3Legal obligation — for retaining financial and business records as required under UK law.
5. How Long We Keep Your Data
5.1Enquiry data where no instruction follows is retained for up to 12 months and then securely deleted.
5.2Client and candidate data relating to a completed engagement is retained for 6 years from the date of completion, in line with standard UK business record-keeping requirements.
5.3You may request deletion of your data at any time, subject to any legal obligation we have to retain it.
6. Sharing Your Data
6.1We do not sell, rent or share your personal data with any third party for marketing purposes.
6.2We will never disclose candidate information or the circumstances of any engagement to any party other than the instructing employer or their solicitor, and only to the extent necessary to confirm programme completion or respond to a legitimate legal request.
6.3We may be required to disclose data where required by law, a court order, or a regulatory authority.
7. Your Rights
7.1Under UK GDPR you have the right to access the personal data we hold about you, request correction of inaccurate data, request deletion of your data, restrict or object to our processing of your data, and request a portable copy of your data.

7.3If you are unhappy with how we have handled your data, you have the right to lodge a complaint with the Information Commissioner's Office (ICO) at ico.org.uk.
